How do Renaissance Advanced Emailer send emails?
Renaissance Advanced Emailer uses Simple Mail Transport Protocol (SMTP) to send emails.

SMTP is a protocol governing electronic mail transmission and reception. Majority of internet providers nowadays, use this protocol to send email. When using SMTP, there should be a client sending the messages and the server receiving them. Renaissance Advanced Emailer utilizes this protocol and acts as SMTP client to distribute email messages to subscribers. In most cases you will configure and use your Advanced Emailer the same way you do with your regular email client like Microsoft Outlook. You will specify the SMTP server that Internet provider gave you. When the SMTP Client sends email messages, it connects to the SMTP server you have specified and communicates to it using SMTP protocol.

Renaissance Advanced Emailer supports RFC 821 (SMTP) Specifications.

What is ESMTP? Do Renaissance Advanced Emailer Supports it?

ESMTP stands for Extended SMTP. Extended SMTP consists of several extensions to the basic SMTP protocol. All of the extensions are optional. An SMTP server may support any extension that it chooses, or none at all.

Yes, Renaissance Advanced Emailer supports the following ESMTP extensions:

  • Pipelining
  • A normal SMTP conversation involves several fragments of data being sent from the client to the server. After each fragment is sent, the client waits for the server to send back an acknowledgement. Once the acknowledgement is received, the client sends the next fragment, and so on.

    This process is very time consuming because many parts of the Internet make use of high latency network links. The client spends a lot of its time waiting for the server to send back a response. To combat this situation, pipelining may be used.

    Pipelining allows the client to batch several fragments of data together and send them all at once. The server then sends back one acknowledgement for the combined set of data. Since the fragments and acknowledgements are combined, the client spends less time waiting for the server to respond and can therefore send the message faster.

  • Delivery Status Notifications (DSN)
  • Standard SMTP servers normally support delivery status notifications (DSN). The DSN extensions allow greater control of the notification process.

    Specifically, the DSN extensions allow you to specify when and how notifications are sent. The Renaissance Advanced Emailer supports DSN.

 

What is ESMTP DSN notify?

Controls what events trigger ESMTP delivery status notifications. The Renaissance Advanced Emailer supported values for DSN Notify are

Does the email sent through the software directly reach recipient?

No, To improve efficiency, the Renaissance Advanced Emailer does not send mail directly to the recipients mail server. Instead, it sends mail to another SMTP server which then forwards the mail to the recipients server. This removes overhead from the Renaissance Advanced Emailer and allows it to work much faster.

 

Is my ISP's SMTP Server enough?

That would depend on the amount of mail you are sending. The general answer would be: Yes. In most cases one SMTP server would be enough for your small to medium corporation needs. Only if you have a large business and you are sending tens of thousands of email messages every day, you might consider getting more than one SMTP Server. You can configure as many SMTP servers as you want in the Renaissance Advanced Emailer using different Mailer wizards .

 

Is it legal to send email through my ISP, will it not consider as spam?

When you have a legitimate business and you are sending only subscription based email messages to your customers or people who explicitly asked for it, giving them a way to unsubscribe themselves from the mailing list, it is not considered a bad practice or spam. You can refer to the What is spam and to What is not spam FAQ's in order to get a better idea about the spam problem.

 

Will the ISP terminate my account for sending so many emails?

That will depend on your agreement with your provider, and the amount of messages you are sending. When you have a small buseness and you are sending 100-200 messages a day, your ISP will probably not even notice that. If you are becoming a larger enterprice, you should consider getting into a special agreement with your ISP, or installing and using your own SMTP Servers (There are many servers available for free on the internet like Sendmail at http://www.sendmail.org/).

 

What is SMTP Relay?

SMTP Relay is a service provided by most modern SMTP Servers. Whenever you send email to someone that is not on the same network as you are, somebody will need to deliver that email. This includes retrying in case the connection on the other party is slow and, in some cases, sending bounce back messages, informing you that this recepient cannot be reached. If you utilize an ISP's server, you can most likely count on the fact, that the server will be always up and running for you when you need it.

How are group messages different from Personalized/individual messages?

When you set option as "Send in Group", messages are sent to recpients with the recpients email id marked in Bcc (Blind carbony copy). Otherwise with Personzlized/Individual option set, the emails are addressed to directly to each recpient.

 

What is Blind Carbon Copy (Bcc)?

A blind carbon copy recipient, receives a copy of the message, however their address does not appear in the CC: list of the message.

 

What is SPAM - Definition of UBE?

Spam is flooding the Internet with many copies of the same message, in an attempt to force the message on people who would not otherwise choose to receive it. Most Spam is commercial advertising, often for dubious products, get-rich-quick schemes, or quasi-legal services. Spam costs the sender very little to send - most of the costs are paid for by the recipient or the carriers rather than by the sender.

The word "Spam" as applied to Email means Unsolicited Bulk Email ("UBE").

Unsolicited means that the Recipient has not granted verifiable permission for the message to be sent.

Bulk means that the message is sent as part of a larger collection of messages, all having substantively identical content.

A message is Spam only if it is both Unsolicited and Bulk

Email Spam targets individual users with direct mail messages. Email Spam lists are often created by scanning Usenet postings, stealing Internet mailing lists, or searching the Web for addresses. Email Spams typically cost users money out-of-pocket to receive. Many people - anyone with measured phone service - read or receive their mail while the meter is running, so to speak. Spam costs them additional money. On top of that, it costs money for ISPs and online services to transmit Spam, and these costs are transmitted directly to subscribers. One particularly nasty variant of email Spam is sending Spam to mailing lists (public or private email discussion forums.) Because many mailing lists limit activity to their subscribers, Spammers will use automated tools to subscribe to as many mailing lists as possible, so that they can grab the lists of addresses, or use the mailing list as a direct target for their attacks.

 

What is not Spam - Legitimate Email Advertisement?

Generally speaking there is no clear definition of black and white of what can be considered Spam and what is not. However, when you follow a few simple guidelines you will be able to devise a simple, concise non-Spamming policy that will help you develop a long term relationship with your clients.

As you must know, customer is always right. Gaining a customer is very hard, but loosing one is easy. This is especially true about loyal long-term relationships. When you send emails, always think how would you react after receiving this email. To make it easier for you, here are a few guidelines to follow:

  • Allow Unsubscribe. When you send many emails to different people, some of them might want you to stop doing so, for various reasons. For example if you are sending a daily newsletter on some subject, they might be no longer interested in or promoting new products or services that are clearly not for them. In such cases, people should have an easy way to unsubscribe themselves from the list and stop getting the emails. You should always include a disclaimer in the very front of the message, telling the user how to unsubscribe from this mailing list. You might even consider an automatic unsubscribe processing, by setting up a web form or a certain return address for that purpose.

  • Identify yourself. Spammers often use unidentifiable return addresses and never put their names in the message. To differentiate yourself from them, identify your message and remind people, that this mail is not sent unsolicited. When they know who is it coming from and they understand they chose to receive it, they will not be annoyed or offended by your messages.

  • Don't send large messages. Remember that a vast majority of people do not have fast internet connection and are still using slow modems to log in to the internet. If they will spend considerable amount of time waiting for your messages, even if they subscribed to the list and consented to receive email from you, they will still be annoyed and will leave your subscriber list. Moreover, not only you are putting pressure on the end user, but also using ISP's precious CPU time and data storage, to process and hold your messages. Thus, the smaller the message, the easier it will be for the user to load it. As a guideline, anything bigger than 100Kb would be considered big for the email message. In case you want to send large messages, consider leaving a link to your web site, where the content may be downloaded instead of attaching it to the email. In the worst case, warn the users they will be receiving large emails from you periodically.

  • Talk to the customer, not at the customer. Try to personalize your messages to the customer, collect his/her interests. At the very minimum, you should know the name of the person you are trying to address. Emails starting with something like: "Dear sir or Madam", or "Hi" are not very good. The more you know about people doing business with you, the more profitable business it will be. You will be able to target your letters more precisely and get more response.

  • Don't send confidential information. Regular, unencrypted email message is still considered an unsecured medium of communication. Don't send your customers private information using an email. Things like credit card's number, postal address and so on, should not be mentioned in your email messages.

Following the above guidelines will make clear difference between your messages sent to subscribed users and blunt Spam circulating in thousands all over the internet. The main rule to follow is, if majority of your subscribers think you start Spamming them, you should urgently reconsider your policy, because you will start losing your customers very quickly.
